The editor-in-chief is normally in charge of setting and enforcing deadlines for publication each month, making final editorial decisions about what to publish, and for carrying out this publication process. When he is unavailable, other senior editors may take his place.

Process

Handle the actual "publishing" tasks in the following order; it should avoid the necessity of having to purge each individual article to update the footer.


  1. Make the individual pages ready
    1. Check Gmail + GLAM/Newsletter/Suggestions
    2. Purge this page
    3. Update the issue contents page (at GLAM/Newsletter/MONTHNAME YEAR/Contents, e.g. this month: GLAM/Newsletter/October 2024/Contents. It should be in the same format as GLAM/Newsletter/August 2012/Contents, which should be self-explanatory. Make sure that all pages listed at Special:PrefixIndex/GLAM/Newsletter/October 2024/Contents/ is listed.
    4. If needed, move the pages to subpages of GLAM/Newsletter/Month Year/Contents/
    5. Check all articles for:
      • Make sure the header of this month is at the top.
      • In the header template there is a title present, if not: create one by using the sub-headings in the article separated with a ; and no link in the heading.
      • In the header template the author(s) are added in the format <name> & <name> or <name>, <name> & <name> with only between the last two names a &. If the user page is not existing (red link), link it to the CentralAuth page like [[Special:CentralAuth/<username>|<username>]]
      • Make sure that the highest heading level on pages is <h3> (===).
      • Red links should not be visible in the article: fix them, otherwise remove them.
      • Make sure the footer is at the bottom of all the articles. (example) Be sure to fill the |month= parameter with October 2024. (The template has 2 other parameters (without names) for the date of the previous article in that series and the next, respectively, if they exist. See next two bullets.) Example: <noinclude>{{GLAM/Newsletter/Comments|month=October 2024}}</noinclude>
      • Make sure the article is linked to the previous edition of that subject.
      • Make sure that previous edition links to the current edition.
    6. Make sure the header and contents of this month are used and the title of the pages is filled in and complete.
  2. Create general pages
    1. Create GLAM/Newsletter/October 2024 (previous)   ( I - II - III - IV - V - VI - VII - VIII - IX - X - XI - XII )
    2. Create GLAM/Newsletter/October 2024/Single (previous)   GLAM/Newsletter/October 2024|GLAM/Newsletter/October 2024/Single|GLAM/Newsletter/October 2024/Announcement
    3. Update: GLAM/Newsletter/Issue
    4. Add edition here: GLAM/Newsletter/Archives
  3. Sending out
    1. Global message delivery/MassMessage: Post the front page of the edition on the talk pages of subscribers. To do this, you must be on the Access list (old list).
      1. Go to meta:Special:MassMessage
      2. Set RECIPIENTS (first field) to Global message delivery/Targets/GLAM
      3. Set SUBJECT (second field) to ''This Month in GLAM'': October 2024
      4. Post the front page of the edition to the third field (BODY) (without category)
      5. Let the previous section be followed by <div style="margin-top:10px; font-size:90%; padding-left:5px; font-family:Georgia, Palatino, Palatino Linotype, Times, Times New Roman, serif;">[[m:GLAM/Newsletter/About|About ''This Month in GLAM'']] · [[m:Global message delivery/Targets/GLAM|Subscribe/Unsubscribe]] · [[m:MassMessage|Global message delivery]] · [[:m:User:Romaine|Romaine]] ~~~~~</div>
      6. Check if all links link to the right pages.
    2. E-mail: Create GLAM/Newsletter/October 2024/Announcement (previous) and send the newsletter to cultural-partnerships-l, glam-l, libraries and wikimediaannounce-l mailing lists. An example of a formatted issue can be seen below (from thismonthinglam﹫gmail.com).
      • Title: This Month in GLAM: October 2024
    3. Blog: Post the newsletter on the blog with title This Month in GLAM: October 2024, use the preview of the central part of GLAM/Newsletter/October 2024 and select category: This Month in GLAM issues.
    4. Telegram: share the link to the newsletter in the GLAM-Wiki Global Telegram group.
  4. Preparing next issue
    1. Update GLAM/Newsletter/Newsroom/Next
    2. Check for additions in GLAM/Newsletter/October 2024/Contents (history) and update GLAM/Newsletter/Contents. Initiate the issue contents page GLAM/Newsletter/November 2024/Contents (using {{subst::GLAM/Newsletter/Contents}}), so that editors can begin creating the next issue.
    3. Add a new heading for the next month to GLAM/Newsletter/Suggestions.
    4. Create new header on GLAM/Newsletter/November 2024/Header (previous)
    5. At least from time to time, check that the archive overview at GLAM/Newsletter/Archives is up to date.
    6. Set new date in GLAM/Newsletter/Newsroom. Clear out discussion and links related to the newly published issue in the Newsroom. Leave a note under Notes to thank this month's contributors and to announce any important upcoming news and any issues that have arisen with publication. Update the deadline.
    7. Thanks!
    8. Once a year: Create calendar for whole year (including January), create events for whole year and update GLAM/Calendar with new year. See Category:GLAM calendars for last calendar and Category:This Month in GLAM Events for last event page.
    9. Send link to GLAM Telegram group.
    10. Create reminder in Gmail to send out at beginning month.

This Month in GLAM is a monthly newsletter documenting recent happenings within the GLAM project, such as content donations, residencies, events and more. GLAM is an acronym of Galleries, Libraries, Archives and Museums. You can find more information on the project at glamwiki.org.
